Kvision Lens Booking Terms & Conditions

These Terms & Conditions apply to photography, videography, and content creation services provided by Kvision Lens. They apply to bookings made through our website, social media, direct communication, or other approved booking methods. By submitting a booking request and completing the required payment, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.

Booking & Confirmation

Submitting a booking request does not automatically confirm your session or event. Once your request is received, Kvision Lens will review the details and confirm availability. A booking is considered confirmed only after approval by Kvision Lens and receipt of the required deposit. Changes to the date, time, location, coverage, or scope of services may affect availability and pricing. Kvision Lens reserves the right to decline or adjust a booking when necessary due to availability, scheduling conflicts, safety concerns, or circumstances that may prevent us from providing the requested services.

Fees & Payment

Pricing and package details will be provided at the time of booking. A 50% deposit is required to secure your booking, with the remaining balance due after the session. Full payment must be received before proofs, final images, videos, or other completed deliverables are released. Payments are non-refundable once made, except where otherwise determined by Kvision Lens. Additional services, extended coverage, additional edited images, studio overtime, travel, or other requests outside the selected package may result in additional charges.

Proofs & Image Selection

Where applicable, image proofs will be made available after full payment has been received. Each package will specify the number of professionally edited images included. Clients may select images for editing by clicking the heart icon within their proof gallery. Comments may also be added to selected images to communicate reasonable editing requests or preferences. Requests for additional edited images beyond the number included in the selected package may be subject to an additional fee. Kvision Lens retains creative discretion over editing style and the final presentation of delivered work.

Cancellation & Rescheduling

If you need to cancel or reschedule a confirmed booking, please notify Kvision Lens as soon as possible. The 50% deposit is non-refundable and will serve as the cancellation fee if the client cancels the booking. Rescheduling requests are subject to availability. Kvision Lens may, at its discretion, transfer the deposit to a new date when reasonable notice is provided. Significant or repeated changes may require additional fees or a new deposit.

Studio & Location Policy

Third-party studios and venues operate under their own policies and guidelines. Clients using these locations are also responsible for complying with the applicable venue or studio requirements. This may include rules regarding conduct, setup and breakdown, occupancy, equipment, and reserved time. If a session exceeds the reserved studio or venue time, the client may be responsible for any resulting overtime or additional charges.

Copyright & Usage

Kvision Lens retains copyright and ownership of photographs, videos, and other creative work produced as part of our services, except where otherwise agreed to in writing. Clients may use their delivered content for the personal purposes associated with their booking. Commercial, advertising, resale, publication, or other business use may require separate licensing or written authorization, depending on the service purchased. Kvision Lens may use selected work for our portfolio, website, social media, advertising, and promotional purposes unless otherwise agreed to in writing.

Loss, Equipment Failure & Unforeseen Circumstances

Kvision Lens takes reasonable precautions to protect captured images and video, including appropriate storage and backup practices. However, photography and videography involve equipment and digital media, and rare technical failures, corruption, loss, or other circumstances beyond reasonable control may occur. If captured content is lost or becomes unusable due to circumstances beyond our reasonable control, Kvision Lens will work with the client toward an appropriate resolution based on the circumstances and services affected.

Client Responsibility & Liability

Clients are responsible for providing accurate booking information and for obtaining any permissions required for photography or videography at their chosen location or event. Kvision Lens is not responsible for circumstances outside our reasonable control that interfere with coverage, including venue restrictions, weather, guest interference, delayed schedules, restricted access, or other third-party actions. Each party remains responsible for its own acts and obligations to the extent provided by applicable law.

Governing Law

These Terms & Conditions will be governed by the applicable laws of the jurisdiction in which Kvision Lens operates. Any dispute relating to these terms or our services will be handled in accordance with applicable law and any written agreement entered into for the booking.

Changes to These Terms

Kvision Lens may update these Terms & Conditions from time to time. Changes will apply prospectively when posted or otherwise communicated and will not retroactively alter the agreed terms of an already confirmed booking unless both parties agree.
